Connecting AI to Microsoft 365, Google Workspace, and Slack: a guide
Copilot, Gemini, Slack AI, connectors, webhooks, MCP: there are several ways to connect an AI to your office productivity and messaging tools. This guide compares these approaches and lists the security and governance checks to carry out.
How to Connect an AI to Microsoft 365, Google Workspace and Slack?
There are three ways to connect an AI to Microsoft 365, Google Workspace and Slack, and they combine more than they exclude each other.
- Enable each suite's native AI. Microsoft 365 includes Copilot, Google Workspace includes Gemini, and Slack offers Slack AI [11].
- Use the bridges between Slack, Teams and Google. Slack provides, for example, templates to link it with Microsoft products, such as Office 365 email or SharePoint [30].
- Add a third-party agent through a connector. A Gemini agent for enterprises, for example, can connect to Google Workspace, Microsoft 365, Slack, Jira or Confluence [9].
Each suite therefore integrates its own AI, but linking several ecosystems goes through agents, connectors, webhooks or MCP. Some agents connect to MCP servers [13]. Webhooks make it possible to call external APIs, for example to send notifications to Slack or Microsoft Teams [20]. MCP (Model Context Protocol) standardizes the exposure of tools and sources to an AI assistant such as Claude, which can then access Drive or Slack [6].
As for timelines, a guide published by a SaaS vendor, to be read as such, claims that preconfigured integrations for Microsoft 365, Slack, Outlook and Google Calendar can be activated within a few hours by administrators [12].
Oupi falls under the third option: the tool connects to office and messaging tools and can act within them with the user's consent (Oupi integrations).
Which native AI to enable: Copilot, Gemini or Slack AI?
Each environment comes with its own assistant, and the choice depends first on the suite the organization already uses. The file lists five: Copilot for Microsoft 365, Gemini for Google Workspace, Slack AI, Notion AI and Zoom AI Companion [11].
- Microsoft 365 Copilot works directly in Teams and in all Microsoft 365 applications [33]. Microsoft describes it as a secure AI conversation for getting answers, drafting content and surfacing insights [2]. Both descriptions come from the vendor itself.
- Gemini for Workspace covers Gmail, Docs and Sheets [7].
- Slack AI, Notion AI and Zoom AI Companion cover messaging, note-taking and video conferencing [11].
On budget, a 2025 article from eesel.ai announces Copilot at $30 per user per month [39]. This figure comes from a commercial source and dates from 2025: verify it with Microsoft before any costing.
Google, for its part, has included Gemini for Workspace as standard in Workspace Business and Enterprise, whereas it was previously billed as an add-on [22]. The source considers this decision unfavorable to Copilot, whose subscription it finds hard to justify: that is its opinion, not a measured finding [22].
Included AI is not enough, however, to choose between the suites. Google Workspace favors browser-based work, Microsoft 365 favors desktop applications, and this criterion weighs as much as the assistant [1].
What does AI concretely do in Outlook, Gmail, Teams and Slack?
AI built into messaging first serves to reduce the volume to read, then to produce the replies and actions that follow.
Summarize, sort, translate
In Gmail, Outlook and Slack, the common functions are automatic summaries, natural-language sorting and translation [28]. These three messaging tools have expanded their sorting and synthesis features in recent months [32]. Both sources are editorial: they describe the functions without selling them.
Reply and act in Outlook and Teams
With Microsoft 365 Copilot, AI can manage the inbox, draft replies and schedule calendar items [40]. An agent also displays a short summary and highlights next steps. Copilot links these suggestions to Outlook and Teams, so that replies, meeting creation and task creation happen without switching applications [38]. According to Microsoft, Copilot works directly in Teams and in all Microsoft 365 applications [33].
Reading these sources with perspective
The descriptions of the last two functions come from commercial players. On one side, virtualworkforce.ai, which offers these agents [38][40]. On the other, Microsoft, which describes its own product [33]. They indicate what the tools are supposed to do, not their results in real conditions. Before a deployment, test them on your own mailboxes and channels.
How to link several ecosystems together?
Linking several ecosystems goes through three paths: Slack's native bridges, Google's connectable agents and open protocols such as MCP.
Slack and Microsoft. Slack offers templates to link it with Microsoft products, including Office 365 email and SharePoint [30]. An official demo shows how to check Outlook emails and join Teams calls without opening new tabs [37].
Gemini agents and Workspace Studio. A Gemini agent for enterprises can connect to Microsoft 365, Slack, Jira and Confluence [9], as well as to Salesforce, BigQuery and MCP servers [13]. Google also announces connections to Microsoft 365, Salesforce, SAP and Jira [15][21], but these two pages are commercial sources. Workspace Studio calls external APIs through webhooks, for example to send notifications to Slack or Microsoft Teams [20].
MCP. The Model Context Protocol standardizes the exposure of tools and sources to an AI assistant. One excerpt cites Drive, Slack, Notion or GitHub among the sources accessible to Claude [6].
ChatGPT. The administrator of Google Workspace, Microsoft 365 or Slack must approve the application [14]. On the Google side, the GPT Workspace module brings ChatGPT into Gmail, Docs, Sheets and Slides [18].
Limits and caution. Google Chat offers more limited third-party integrations (Asana, Jira, PagerDuty) [36]. The Instagram excerpt [6] is partial. The Reddit post [3] only raises a question, displaying Slack, Google Chat and Teams together, without offering a solution.
Can an AI act in my tools, and under what control?
An AI that answers produces text or a summary. An agent performs an action in the tool: send, schedule, follow up. The distinction matters most in messaging and calendars, because the action there affects outside contacts.
The following examples come from commercial players and should be read as such:
- Outlook connectors for agents: GENIAL presents a connector that unifies Microsoft 365 mail, contacts and calendar for AI agents [35]. Virtualworkforce.ai describes agents that manage the inbox, draft replies and schedule calendar items [40]. The same publisher states that Copilot links its suggestions to Outlook and Teams, to reply, create meetings and tasks without switching applications [38].
- "AI colleagues": Amaiko offers an AI colleague in Teams or Slack, for meeting briefs, email sorting, presentations and follow-ups [31].
Oupi connects to office and messaging tools and can act within them with the user's consent. Available connections are detailed on the integrations page.
On the administration side, the prerequisite for ChatGPT is administrator approval: they must declare OpenAI/ChatGPT as a trusted application in Google Workspace, Microsoft 365 or Slack [14]. The sources in this file do not detail how each agent action is validated. Have this point checked, tool by tool, before any deployment.
What security and governance prerequisites for the CIO?
Before enabling AI on Slack, Teams or messaging, the CIO must frame what the models may process. Every message exchanged on Slack or Teams is potentially sensitive data. Enabling AI means this data will be processed by models whose scope of action must be understood [17]. On the Microsoft side, Copilot runs within the same tenant as the company's Microsoft 365 data [17]. On the Google side, administrator controls exist for Workspace Intelligence. They are supported, among others, on Business Starter, Standard and Plus, Enterprise Standard and Plus, Education Plus, Frontline Plus, Enterprise Essentials and Essentials Plus, and Nonprofits [26].
Checklist before activation:
- Application approval: for a third-party tool such as ChatGPT, the administrator of Google Workspace, Microsoft 365 or Slack must approve it as a trusted application [14].
- Data scope: identify the messages and content the models will process [17].
- Editions concerned: check that your edition is among those supporting the controls [26].
- Rights granted to the agent: define what it can read and what it can do. Oupi connects to office and messaging tools and can act within them with the user's consent, which makes this point decisive (see Oupi integrations).
Some vendors state that their preconfigured integrations can be activated within hours [12]. This speed does not exempt anyone from these checks.
Should you stay with native AI or add a third-party tool?
Included AI in the suite is not enough to decide: it settles neither storage nor the other selection criteria [1]. Google Workspace favors browser-based work, Microsoft 365 favors desktop applications [1]. The first trade-off therefore concerns usage, even before the question of the assistant.
What weighs in the decision
The two vendors have different visions of AI agents, which changes purchasing decisions [10]. A guide from Jint published in 2023, thus predating current offers, describes the digital workplace as a combination: productivity tools (Microsoft 365 or Google Workspace), collaboration platforms (Teams, Slack), AI assistants, security and governance [19]. AI is just one component of this whole.
When to look at a third-party tool
The question arises mainly if your teams mix several suites and messaging tools. A software publisher (anny.co) states that many SaaS solutions offer preconfigured integrations for Microsoft 365, Slack, Outlook and Google Calendar, activatable within hours by administrators or business teams [12]. This is the view of a commercial player, to be verified during a test.
Similarly, agence-ia.com questions the usefulness of a specialized AI agency compared with AI built in by 2026 [11]. The author sells this type of support: the question remains open and is not settled.
Oupi falls under the second option: it connects to office and messaging tools and can act within them with the user's consent. Details are on the integrations page.
Frequently asked questions
Do I need the IT administrator's approval to connect an AI to Microsoft 365, Google Workspace, or Slack?
For ChatGPT, yes: you need to ask the administrator of Google Workspace, Microsoft 365, or Slack to approve OpenAI/ChatGPT as a trusted application [14]. On the Google side, administrator controls also exist for the generative AI features of Workspace Intelligence, depending on the edition [26]. The file does not detail the procedure for other tools: check it tool by tool before deployment.
Can Copilot and Gemini work together?
The file does not document any direct joint operation of Copilot and Gemini. Each is the native AI of its suite: Copilot for Microsoft 365, Gemini for Google Workspace [11]. The two vendors also have different visions of AI agents [10]. However, connectors allow a Gemini agent to connect to Microsoft 365 and Slack [9].
What is MCP, and how is it used to connect an AI to your tools?
Are my Slack and Teams messages exposed when I enable AI?
Every message exchanged on Slack or Teams is potentially sensitive data. Enabling AI means this data will be processed by models whose scope of action you need to understand [17]. Microsoft runs Copilot within the same tenant as the company's Microsoft 365 data [17]. Define the scope before activation.
Can you use ChatGPT in Gmail or Slack?
For Gmail, the GPT Workspace add-on brings ChatGPT into Gmail, Docs, Sheets, and Slides [18]. For Slack, the file only notes that the administrator must approve OpenAI/ChatGPT as a trusted application [14], without detailing how it works. Have your administrator validate the approval before any use.
Is the AI built into my suite enough, or should I add a third-party assistant?
The AI included in a suite is not enough to choose between Google Workspace and Microsoft 365: the work mode, whether browser-based or desktop applications, weighs just as much [1]. A third-party tool is mainly justified if teams mix several suites and messaging platforms. Oupi falls under this option: it connects to office and messaging tools and can act within them with the user's approval.
